Create and Activate Automated Membership Welcome Emails

Objective

Set up an automated welcome email, new membership purchases for the example, using a club-branded email template. This SOP explains how to copy an existing template, customize it for specific membership types, and activate the automation so new members receive the correct email.

Key Steps

 1. Open the membership email automation area 0:00

  • Navigate to the platform’s Email Management.
  • Select Email Overview.
  • Locate the membership emails section.
  • Identify the on-purchase automation, which sends an email when a member buys a membership for the first time.
  • Review any existing automated emails already available in the system before making changes.

 

2. Choose the on-purchase trigger for new member welcome emails 0:20

  • Select the on-purchase email automation.
  • Confirm that this trigger is intended for the member’s first membership purchase.
  • Use this automation to send a welcome email immediately after a membership is purchased.
  • Note that a number of prebuilt emails will be available to copy.

 

3. Review the default template before editing 0:42

  • Check the currently assigned template name, such as the default organization template.
  • Understand that if you activate the default template without changes, the email will send using the default branding.
  • Decide whether you need to keep the default version or create a club-branded copy.
  • If club branding is required, proceed with copying the template.

 

4. Create a copy of the template for club branding 0:56

  • Select Create a copy of the existing template.
  • Enter a clear template name and description.
  • Use internal naming that helps your team identify the template easily.
  • Remember that the template name and description are not visible to the customer.

 

5. Assign the correct membership types 1:11

  • Choose the membership types that should receive this email.
  • Add each membership type using the Add button.
  • Create separate versions if different member groups need different welcome emails.
  • Example:
    • Racing members receive one welcome email.
    • Club or ride members receive another.

 

6. Select the email template and trigger settings 1:41

  • Choose the email template you created for your club branding.
  • Confirm the template falls under the correct category, such as membership.
  • Verify the trigger type is set to action so the email sends when a membership is purchased.
  • Ensure the automation is tied to the correct membership event.

 

7. Configure optional delivery and subject settings 2:02

  • Add a club email address in the BCC field if you want a copy of the email sent internally.
  • Review the email title and subject line.
  • Use the default subject fields unless you have a specific reason to change them.
  • Avoid changing predefined system fields unless you understand their function.

 

8. Customize the email body and attachments 2:20

  • Edit the body content so the message reflects your club’s tone and wording.
  • Add any relevant attachments if needed.
  • Keep the message clear, welcoming, and aligned with your club branding.
  • Make sure all content is accurate before saving.

 

9. Save the template and activate the automation 2:36

  • Save the completed email template.
  • Confirm the template is assigned to the intended membership types.
  • Turn the automation on to activate it.
  • Once enabled, new purchasers of those membership types will receive the welcome email automatically.

 

10. Reuse predefined templates as needed 2:57

  • Review other predefined email templates available in the platform.
  • Create copies when you need to customize wording or branding.
  • Use the same process to build additional automated emails for other membership journeys.
  • Maintain consistency across all automated communications.
